Choosing a printer can be a daunting task. There is so much choice and decisions to be made. If you are feeling overwhelmed, here are a few guidelines for purchasing a regular printer. Very broadly speaking, printers fall into two categories: laser and inkjet. If you are planning on printing a lot of photographs, then an inkjet printer would be better for you. A laser printer would be more suitable if you are expecting to print a load of documents. Home users are best served by inkjet printers, particularly multi-functional inkjet printers, as they cost only a little extra. Business offices require something more powerful. They usually need something with more memory, faster processing time and network features. To meet these needs, a laser printer is your best option. There are two kinds of laser printer: mono and colour. Businesses that do not expect to print much in colour often go for a mono laser printer and a small inkjet for their occasional colour printing requirements.

Types of Printers for sale - Business or Home Environment

In these digital times, the capabilities and variety of printers is staggering and choosing which one is right for your situation can be daunting. There are very specialised ones that can perform only one task, such as print labels or photos, or multi-functional ones that have many different features, such as copying, scanning, faxing, specialized binding and collations and then of course there are the printing presses that can print thousands of documents at a time without any problem. Below is a general idea as to what kind of printers there are for the office and home and how they work.

The most popular printers these days are inkjet printers and laser printers and to a lesser extent LED printers. Then there are colour printers and so-called mono printers, which only print black. There are quite some differences between the various types of printers and depending on your circumstances and requirements, there will be a few for you to choose from.

Inkjet Printers

Inkjet printers spray or jet heated tiny drops of ink onto the paper, with the ink being a liquid rather than a powder such as in laser printers where it’s called toner. There are different inkjet technologies with Canon using their patented BubbleJet technology to heat the ink until it explodes, most other companies have a system that uses pressure forcing ink onto paper. The quality of the prints is crisp and the colours are great.

Before there were inkjet printers most companies used dot matrix printers, which gave a resolution of about 60 dots per inch (abbreviated to DPI) and when inkjet technology came on the market the DPI jumped to 150 and then 300 and now it’s mostly at least 600 with some printers having an even higher DPI, such as photo printers, which have from 1200 to 2800 DPI but these are usually laser or LED printers. There are also A3 inkjet printers.

Inkjet printers are probably the best choice for home use, unless you have your office at home and have to print a lot. They take up less space than laser printers as they are more compact. Even though laser printers have a higher initial purchase price, they are cheaper in the long run if you calculate the cost per page printed.

Inkjet cartridges are usually more expensive per page printed because the printer manufacturer (also called Original Equipment Manufacturer or OEM), such as Canon or HP, also sell their own inkjet cartridges and they have a captive audience because all their printer buyers have to buy the ink from the same company. These days however there are a lot of third party ink manufacturers that sell their ink for less than half the price of the OEM.

Inkjet printers have a few disadvantages compared to the laser printer, the main ones being slower print speed, slightly damp prints and smaller paper drawers, all of which shouldn’t be a problem for low home usage. Together with using cheaper non-OEM ink cartridges and the lower initial purchase price the inkjet printer is the best choice for home use and for low budget office use.

Inkjet printers come with all the bells and whistles that are available, such as copying, faxing, scanning, double sided printing, high resolution DPI, wireless connectivity and a lot of models even come with an automatic document feeder or ADF. A printer is definitely a gadget that you can’t do without anymore these days and they become cheaper and cheaper.

Laser Printers

Laser printers fuse powdered ink called toner onto paper with high heat and pressure, much like the modern photo copiers. The printers are fast, they can print up to 40 pages a minute in the more expensive models, they are very quiet and the prints look great as they usually have high resolution, and they can print many copies in one run due to their higher drawer capacity. The down side is that the upfront printer and toner cartridges prices for laser printers are usually more expensive than inkjet printers and ink cartridges even though the cost per page of a laser printer is way cheaper.

For that reason the laser printer is better suited for the office environment, where usually many people are networked into the printer so the printer is printing all the time. Toner cartridges also last longer in general than inkjet cartridges so they have to be replaced less often, which in turn creates less hassle.

Another plus point is that the 3 colours (Cyan, Magenta & Yellow or CMY) are usually in separate toner cartridges instead of all together, which is standard in most inkjet printers where the 3 colours are included in 1 cartridge. This has consequences with regard to replacing cartridges; you won’t have to replace all colour toner cartridges at the same time such as with the inkjet all-in-one colour cartridge.

Laser printers come with even more bells and whistles than the inkjet printer, they all come standard with copying, scanning and faxing, wireless connectivity and in addition many have advanced scanning features so you can scan to your email, a USB disk or network folders, a wide range of paper sizes, such as A4, A5 & A3, letter, legal and envelopes. They have energy saving features, built-in security.

Since laser printers are more advanced than inkjet printers, they have more parts that could break and this can be a problem although the reliability of current printers is quite high, they very seldom break down. However these days you can also get extended on-site warranty when you buy the printer so if it breaks down you can get it repaired rather easily.

LED Printers

LED is short for Light Emitting Diode, the type of light bulbs we are buying these days that use very little energy. LED printers are the newest type of printers. They are similar to laser printers but are cheaper to manufacture, they are more efficient and have less moving parts so they are more reliable and break down even less.

Both printers fuse heated toner onto the paper. The difference between them is the way they illuminate the print drum or belt: a laser printer uses a laser beam that moves back and forth across the drum and an LED printer uses a series of LEDs that illuminates the entire line in one go.

LED printers are the new kid on the block but right now laser printers are still very popular and still produce a better quality image and are very reliable so it may take a while before LED printers become the top sellers. LED printers very often have free warranty extensions when you buy one and they have lower running costs as you won’t need to buy so many replacement parts.

Monochrome Printers

The word ‘monochrome’ means ‘one color’ and here it means the printer only prints black and white. Both inkjet and laser printers and even LED printers come in monochrome.

Monochrome printers are used when you need to print text documents only, they usually don’t come as multi-function printer. The main reasons to buy a monochrome (or just mono) printer are fast and easy printing and also cheap in use as you won’t need to buy colour toner or ink.

Multi-function Printers

Also known as all-in-one printers, multi-function printers have the ability to print, copy, scan and some even have fax and email capabilities. If you need faxing capability you will also need a phone line interface. Having a multi-function printer can make office tasks easier as you won’t need separate machines.

The best multi-function printers deliver excellent document printing with crisp scanning, copying and sometimes even faxing and emailing. They not only perform fast, high-quality printing, but they also have great other features, a straight-forward set-up and support, and a low per page cost.

Getting a good multi-function printer does make a difference: low end printers can give you lots of problems, including difficult set-up, troublesome operation with scanning and blurry documents. Capabilities like Wi-Fi make it possible to print from your phone or laptop and automatic double-sided printing lets you print on both sides of the paper without having to flip the pages and feed them back in the printer.

Dot Matrix Printer

Dot Matrix printers are one of the oldest printers around. They print in tiny dots by physically striking the paper with an element just like a type writer and are mainly used to print carbon copy forms. The quality of the print is not very good but it is readable and it has a nice retro effect just like a clock’s digital numbers except they show up in dots instead of sections. They also print slowly and noisily and when the ink is almost gone the prints are pretty much unreadable.

The dot matrix printer is particularly useful for companies that use carbon copy forms or forms printed on continuously fed paper stacks. Most printers use tractor feeds with wheels that have sprockets that fit into strips with holes at the side of a stack of continuous-feed paper so when you are printing multiple carbon copies they are all stuck together and will feed nicely into the printer and will print the carbon copies exactly in the right places. The printers can print different size papers and will print hundreds or thousands of pages without getting a paper jam.

A3 Printers

As the name says A3 printers can print on A3 and usually also other paper sizes. They are good for businesses and even homes where you require larger scale prints. A3 printers very often can also produce other size prints such as legal and have several paper input trays, which simplifies the process. They are available in both laser and inkjet.

Thermal Printers

Thermal printers are used in many industries these days, from retail to medical, warehousing, ticketing, shipping labels, etc. They print fast, use very little power and issue beautiful legible receipts, tickets, labels, barcodes, ATM tickets, and a host of other applications. The printer uses a heat source by burning an imprint on the special coated thermo-sensitive paper.

The printer will last about 10 years before you have to replace the printhead, however you need to maintain the printhead and the inside of the printer by regular cleaning with compressed air and isopropyl alcohol. If the printer doesn’t print well you can turn down the heat and darkness level but once the print starts to show lines, you need to replace the printhead but by that time (after 10 years) there are probably better printers on the market so you’ll just buy a new printer.

You can also print colour but that’s just the ribbon and then all print will be in that colour. The only downside is the printed paper cannot be permanently stored, the best thermal paper may only last 7-10 years and then only in good light conditions.

There are also bigger thermal printers that print letter size paper and also mobile blue tooth thermal printers.

Label Printers

Professional label printers are computer printers with a special feed mechanism mainly used in manufacturing facilities where they print self-adhesive labels to go on their bottles and other packaging. They are also used in laboratories for blood and specimen samples but these are usually special printers. Label printers are also used for barcodes and to print photos and they usually have different types of paper they print on: matte, gloss, polyester or polypropylene.

There are different label printers, high-end ones that print high quality and colourful graphics and others that don’t print very high quality colours. There are also certain printers and printer inks compatible with certain types of labels, such as dye based ink for matte labels and pigment based ink for glossy labels but the most used ink in label printers is inkjet technology.

Inkjet label printers print very vivid colours so are great for labels and of course the higher number the DPI (dots per inch) is the better the resolution of the print will be. Thermal printers are good for shipping labels and barcodes but they are not so good for colours as the thermal transfer printer doesn’t have so many colours in the ribbon.

Mobile or Portable Printers

Mobile printers are getting popular, especially with business people that need to print while they are traveling, some printers even come with scanning and copying capability although they are still very expensive!! They are very convenient and are small enough to fit in a briefcase and even a (larger) handbag.

Most portable printers are for printing documents, labels or photos and most of them are of good quality. Most use inkjet technology but there are also thermal printers. If you want to print photos there are quite a few relatively cheap portable photo printers on the market. A lot of the printers are battery powered, they have Wi-fi Direct so you don’t have to rely on a WiFi network at home, office or hotspot to use your printer.

If you have a thermal printer, you won’t need any ink cartridges, the only thing you need to bring is your thermal paper, and the prints, although only black and white, are as crisp as prints from inkjet or laser printers with the only downside being that the paper will start to fade after a while.

Portable inkjet printers have a reliable technology but the cartridges are very expensive, especially as they mainly come in 4 different cartridges for black and the 3 colours cyan, magenta & yellow. Only a few inkjets have an all-in-one cartridge.
